We are seeking an energetic and passionate person to join our Corporate Office team! As an employee, you will be primarily responsible for efficiently processing new hires and managing the HR email inbox.
Your exceptional organizational skills, strong attention to detail, and excellent communication abilities will be instrumental in ensuring the smooth operation of our HR processes.
Responsibilities New Hire Processing:
Coordinate and execute all administrative tasks related to new hires, including but not limited to employment documentation, background checks, reference checks, and onboarding paperwork.
Ensure timely completion and accuracy of new hire paperwork, ensuring compliance with company policies, procedures, and legal requirements.
Liaise with various departments to ensure a seamless onboarding experience for new employees.
Maintain employee records and databases, ensuring they are up to date and accurate.
HR Email Management:
Monitor and manage the HR email inbox, promptly responding to inquiries, requests, and concerns from employees, managers, and external parties.
Categorize and prioritize incoming emails, redirecting them to the appropriate HR team members or departments as needed.
Provide accurate and timely information to employees regarding HR policies, procedures, and general inquiries.
Maintain confidentiality and handle sensitive information with professionalism and discretion.
Training:
Assist in coordinating and managing training programs for employees, including scheduling, registration, and logistics.
Maintain training records and ensure accurate documentation of employee participation and completion.
Communicate training opportunities, schedules, and requirements to employees, ensuring awareness and engagement.
Collaborate with external training providers and internal stakeholders to ensure smooth execution of training initiatives.
Track training budgets and expenses, providing regular reports to the Director.
General Administrative Support:
Assist in the preparation and distribution of HR-related documents, such as offer letters, employment contracts, and policy manuals.
Support the HR team in organizing and coordinating HR-related meetings, events, and training sessions.
Assist in maintaining HR-related databases and systems, ensuring data integrity and accuracy.
Collaborate with HR team members on special projects and initiatives as assigned.
Desired Experience and Education Previous experience in a similar role/position is preferred Proficient at using computers and Microsoft Office Suite (SharePoint, OneDrive, Outlook, Word, Excel, PowerPoint) Track record of reliability and promptness Exceptional communication skills (both verbally and in writing) Forward thinking - able to anticipate what needs to be done next Strong problem-solving skills and ability to multitask in a fast-paced environment Knowledge of HR best practices, employment laws, and regulations is a plus!
